In Inventory, order quantities will automatically generate for any vendor item that is assigned
to an Inventory item with a suggested order method. Order methods are optional and do not have to be applied to an item. These suggested orders can be set up using three different methods:
Suggested Order =
Suggested Order =
|UPT (usage per thousand)||
Suggested Order =
To set up an order method, go to the inventory item page and choose an item.
Once you are on the item details page, scroll to the bottom until you find a section called Order Method. A drop-down menu will be displayed. Clicking it will reveal the three different order methods mentioned above.
While you will be required to define a value for each method, Forecasting is the only one that will allow you to define a safety stock. A safety stock will be used to increase the forecasted suggested quantity if the forecast itself ends up being too low (please note the forecasted need will be derived from the Clarifi Forecasting module.)
When the forecasting method is selected, the safety stock menu will appear beneath it. Here you will choose whether the safety stock will be based on percentage or quantity.
Percentage means that a percent of the forecast will be used as your safety stock. For example, if it is forecasted that you need 10 hamburger buns, and the safety stock percentage is 50%, then five more hamburger buns will be added to the suggested order.
Quantity will act as a fixed amount. So if you use five as the quantity, an extra five hamburger buns will be added to the suggested order.
Par & Usage per 1000
Both par and usage per 1000 will require users to set a unit of measurement and a value. Only units of measurement that fall within the same category as units that have previously been defined will be listed (for example, you wouldn’t see volume weight class measurement types listed if a volume type hadn’t been used for the base unit, reporting unit, or count unit.)
For PAR, the value will represent what is going to be subtracted from the current on hand in the formulas above.
For Usage Per 1000, the value defined will be what is multiplied by 1000.
While entering a value for PAR or Usage Per 1000, you have the ability to enter a value with up to two decimal points.
Linking a Vendor Item
Once an order method is chosen, you will need to link the vendor items that you’d like to read off of the suggested ordering rule to the Inventory item. To do this, go to the Linked Vendor Items table above Order Method and click the Link button.
A menu will open where you can select a vendor.
After choosing a vendor, a list containing the items contained in that vendor will appear. From here, choose the items that you would like to link and click Add.
Items that you've chosen will appear in the dialogue box beneath the add button. To finalize the item selection, click Done.
Once that has been done, you will see the item you selected under Linked Vendor Items.
In the above screenshot, you can see that I’ve linked a vendor item called Turkey Ham FZ 16-15z from US Foods to the inventory item. The next time that I order from US Foods, an order for Turkey may be created based on the settings I used for the order method.
In the event that a suggested order is made, you can view how the suggested was made by clicking on the information icon. Please note. if the suggested quantity is not a whole number it will be rounded up.
Please note that after they are made, suggested orders can still be edited and changed.
