1. Introduction
The document communicates the major new features and changes in the 2016.3 MacromatiX Release. It also references issues that were addressed during this release.
2. About This Release
The 2016.3 release includes substantive changes to improve the MacromatiX user experience. A few of the release highlights for the MacromatiX Management System (MMS) and MxConnect (MxC) are detailed below.
2.1 MacromatiX Management System – Highlights
MacromatiX is a cloud-based operating system that provides operational efficiency, cost controls and real-time visibility into restaurant operations that keep the manager in front of customers and focused on their experience, rather than stuck in the back office staring at spreadsheets. Get instant insight into inventory and financials with in-depth, down-to-the item reporting. Gain access to sales data, gross profit, cost of goods sold, loss prevention and exception management with the ability to report down the item level at individual stores. With Macromatix, food is fresher, waste is reduced, and gross profits are increased.
Enhancements to the MacromatiX Management System (MMS) modules this release included:
- Last Year's Sales and Comp % are now Displayed on MMS Dashboard
- Automatic Job Code selection and validation
- A new Inventory Efficiency Report has been created
- New security permission to allow Area Managers to assign employees to stores outside their designated area
Sales Dashboard Displays Last Year Sales and Comp Percentage
The Sales Dashboard grid was updated to also show the sales and transactions for the same day last year, as well as a comparison percentage to sales of the current date. This will allow store owners and managers to easily view last year sales as well as the “comps %” value without having to run a specific report.
- The “Today’s Sales Last Year” is the value of sales for the same day last year.
- The “Comp %” uses the following formula; “(current year – last year) royalty sales / last year royalty sales X 100%”.
- The “Comp %” value is displayed as a percentage per the above formula.
- The “Comp %” value is displayed in green font when positive. When negative it is preceded with the minus sign and displayed in a red font.
- The “Last Year Count” displays the total number of transactions for the same day last year. (i.e. Tuesday to Tuesday not 4/19/15 to 4/19/16)
Automatic Job Code Validation
Automatic Job Code Validation provides the ability to record time punches from the time clock, and have the employee shifts recorded under the correct job without requiring manager intervention. Server Side processing of employee punch data has been enhanced to allow shifts without job codes regardless of origination to be automatically assigned the job where the employee is scheduled. If the employee is not scheduled, then the system applies the employee's primary job (as it did prior to the change under all scenarios where Job Code was not explicitly provided). The system attempts to identify the job the employee is scheduled for (within a specified buffer time period) and uses that job code (new functionality).
Upon receiving a clock-in event from the Time Clock if the job code is not specifically provided, then the system identifies the job that the employee is scheduled to work at that time.
- If the employee is scheduled, then the shift is automatically assigned to the Scheduled Job Code.
- If the employee is NOT scheduled, then the shift is assigned to the employee’s “Primary Job”.
Inventory Efficiency Report
The Inventory Efficiency Report is an enhanced version of the Inventory Activity Report that allows users to view Actual and Theoretical Food Cost as a percent of Net Sales by Product Cost Classification with:
- Expand/Collapse in HTML View
- Drills up/down through:
- Item Groups
- Sub-Groups
- Individual Items
- Includes Prep Adjustments
- View Item Details as Quantities or Dollar Values
- Actual, Theoretical, Variance as a % of Net Sales
- Drills up/down through:
The Inventory Efficiency Report provides the "Efficiency" of the actual usage (by item and group) by obtaining a percent indication of how close the values are (over or under) to Theoretical Usage.
The following key columns are now available on a single report:
- Overall Actual Food Cost %
- Theoretical Food Cost %
- Efficiency %
Efficiency is calculated in the following way (example):
- Theoretical Usage = 75 Units
- Actual Usage = 100 Units
- Efficiency = 67%
Area Managers Can Move Out of Area Employees into Their Area
Area Managers frequently lend staff to other store areas to work a shift. Area Managers now have the ability to assign staff to another store, a store which may exist outside of their area. A new security permission has been created to allow adding/removing employee to a store outside of the area manager’s region: “Employees - Can allocate employee to another store”.
2.2 MxConnect – Highlights
MxConnect is designed for use on a mobile device to facilitate constant access to real time data for forecasting, inventory counts, ordering, transfers, waste, and labor.
2016.3 MxConnect changes include enhancements to existing functionality as well as new modules to improve accountability. Enhancements include:
- The ability to enter Prep Adjustments through MxConnect with configurable Units of Measure
- New security permission to require invoice numbers in Inventory Receiving
- Area Summary Report Optimization
Prep Adjustments Tool
A new tool in MxConnect called "Prep Adjust" was created to assist with production. When an item is made (or “Prepped”) which consumes Raw ingredients, stock balance adjustments are required for the Prep item (an increase) and Raw items (a decrease).
The purpose of this tool is to apply stock balance adjustments, specifically allowing a portion of one inventory item to be transitioned into a portion of another inventory item. An example may be Chicken Salad; if the user creates five pounds of it, they can enter this amount into the new tool, and the system automatically depletes the appropriate raw inventory items used to create the Chicken Salad per its recipe.
- The Prep Adjustment tool automatically makes Prep and Raw ingredient stock balance adjustments
- The user is only required to enter quantities of Prep items and the system makes the necessary raw item depletions based upon the prep items recipe
In addition, the Actual vs. Theoretical and Inventory Activity reports were updated to display stock balance adjustments made by this tool.
Mandatory Invoice Number – Security Permission
An invoice number may be required in order to reconcile received orders accurately. To facilitate this, a new security permission has been added to MxConnect, 'Mobile' section "Inventory - Receiving - Receive Without Invoice No". This permission ensures that an invoice number is present when receiving or auto-receiving an order in MxConnect. Please note that all current users are assigned to the new security permission by default, therefore the Invoice # field will not be required unless it is configured.
Area Summary Report - Optimization
The Area Summary Report was further optimized for performance improvements. Additionally, TRN Count LW and TRN Count LY columns are now available, for selection, for this custom report.
2.3 Reporting Data Store (RDS) – Highlights
The MacromatiX solution is a prolific collector of operational data. The Reporting Data Store (RDS) has been conceived in order to give users ownership and access to their own data. Users will have the ability to design and build their own reports and interrogate the database at will. Progress, for the feature, continues. The following fields have been added to the Reporting Data Store:
