What's Changing?
A new Global Setting that, once enabled, will make it possible to export GRNs to Trade Simple for invoice matching before the end of the stock period.
Reason for the Change
As more businesses move to monthly stock periods it is sometimes necessary to match supplier invoices and process them for payment before the stock period is approved.
Customers Affected
Inventory customers who export their GRNs to Trade Simple for invoice matching.
Release Note Info/Steps
- Please raise a request with Fourth's support team to have the "Send GRN for a supplier without stock approval" Global Setting applied
When the Global Setting is applied a background job will run on the hour, every hour, which will export any GRNs that have been approved. The frequency of this can be changed - the maximum length of time between exports can be anything up to 24 hours.
For approved GRNs to be exported, the following criteria must apply:
-
- The Global Setting above is set to 'true'
- The setting for the supplier to export GRNs is set to 'true'
- The GRN is approved
- The GRN has not already been exported
Once a GRN has been exported it will not be possible to reopen it unless the user has both of the following access rights:
-
- Goods Received Note > Reopen
- Can reopen GRN after invoice matched
Typically, standard site users would have access to Goods Received Note > Reopen, with the additional permission Can reopen GRN after invoice matched being available to Finance users only.
With both of the above access rights, a user will be able to reopen a GRN to correct values which will reflect in Inventory. However, the amendments will not be passed to Trade Simple. Each GRN is only exported once, so any amendments made after an export will not be reflected in Trade Simple.
