Preloads appear immediately after logging in to your HotSchedules account. Their Continue button must be clicked before proceeding, so it is a great way to encourage your staff to read the important information contained within.
To view, adjust, or create a preload, hover over Communication in the Above Store Console, and select Preloads.
On the next page, you’ll find a list of all preloads your company has used, but not deleted. You’ll see the start and end dates of each, as well as how many times it should display, its status, and its Actions drop-down menu (more on this later).
To create a new preload, click Add Preload.
On the next page, you’ll see three sub-tabs – Setup, Design, and Recipients. All three sub-tabs are necessary for each preload.
Under the Setup sub-tab, give the preload a title and description, and select the start and end dates using the calendar tools. Then decide how many times you’d like the preload to appear to each individual. Leave this option as 0 if you’d like it to display every time the individual logs in during the timeline you set up.
Under the Design sub-tab, you can create what you’d like your staff to see. This works very much the same as a word processor or HTML-based email application. You are even able to upload an image, if needed. You are also able to adjust the preload further through HTML code, if so desired.
Under the Recipients sub-tab, then, assign the preload to various locations, jobs, and/or schedules. Simply check the box next to all applicable. You are also able to assign the preload only to those staff whose hire date falls within the dates this preload is to be active by checking New employees only.
When finished, you can click Save to come back to it later, or Publish to activate the preload.
Please note that you are only able to edit saved preloads. In order to adjust a published preload, you will need to copy it, edit that copy, and publish the new one in place of the original.
In the Preloads list, you can click the preload’s Actions drop-down menu to edit saved preloads, or copy, delete, or prematurely stop published preloads. You are also able to view how many times each preload was viewed by selecting View Results.
